For anyone who runs a business or works in an office, understanding how to scan a document is going to be a crucial task. Scanning is one of the most commonly performed duties of any business. This is the process of taking a hard copy of an image or document and digitalizing it. You could take anything on a piece of paper, scan it, and end up with it on your computer. This is useful for a number of different situations. When you want to draw an image by hand and then use a photo editing tool on the computer to perfect it, scanning is a great option. This refers to how large the scale of the image or document will be on the computer screen. For the basic scanner you will enter in width, height and the resolution you want. Avoid using more than 100 dpi when setting your scanner. This will help keep things crisp and clear.
Once you have all the settings out of the way, you can turn your focus to the actual scanning process. You simply take your document, open the top of the scanner and place the document face down on the machine. Check for marker lines, which will help you be sure that you have the document aligned properly. This will keep it from coming up crooked on the computer. It does not matter if you close the lid or keep it open when you press the start button on the machine. It is best to keep the lid closed however, to ensure that only the document directly on the machine is being scanned. By keeping the light out it helps the document to be scanned and come up most clearly.
It usually takes a few moments for the scanner to start up so do not be surprised if it does not begin scanning right away. It only takes a few seconds for the scanner to go over the entire document and once it is finished, you can decide what you want to do with it. Most of the newer scanners will actually send directly to Corel Draw, Photoshop or other programs if you select this before scanning. Again, it all depends on where you need to send the document to or what you want to do with it after you have scanned it.
To ensure you have it down pat before using it in a professional setting you may want to practice it a few times. Try it out a few times to make sure you are doing it right until you get the hang of it.
